CUSA On Line Registration and Team Management.

The new system is all web based and as such it does require that you and all your players have individual email addresses.  Without a current, individual email address you will not be able to register the individual through this process and will need to resort to the traditional paper waiver method.  All new CUSA Members still must come to the office to register in person for their first time.  Individuals who are changing teams will also need to ensure that their ID card does reflect the proper team name on it.

In October Team Administrators received an email confirming which division your team was entered into and confirmation of your user name and password to log into the system CUSA Home .  If you require your password information again there is a request password notification email from the site that will respond with the information.  Email: cusa@smssoccer.ca

Once you have logged into your team on the site you can follow the steps outlined below to start the participant registration process.

1)    Team Admin Site ( Team Log In  )

a)      A Coach or Manager can now login

i)        Your have two tabs to select

(1)    Team Profile

(2)    Team Members

b)      A team official can now create your team roster. (Team Member)

c)       Ensure you pick the 2009 10 Indoor Season (not Pre-Season Cup) when promoted here (Please select the season/tournament).

d)      You will be able to see the current list of players who have been registered to your team or those that you have requested to be registered to your team.

i)        Players who are eligible to participate in your games are those who on this screen show Active.

ii)       Players who show In Active need to accept your email request to join the team. Players who are In Active are not eligible to participate in any CUSA League games.

e)      You can view you previous team roster (Add previous season members), currently only those players from Outdoor 2009, and add players accordingly.

i)        Player list will be shown with either Active or In-Active displayed on the right side.  Those indicated as In-Active can be placed on your season roster however;   they will need to contact CUSA to determine their playing status.  There may be outstanding discipline or related issues with that individual.

ii)       After you have selected your players for the 2009 10 season you will need to click the send team roster activation request

iii)      This will send an email to all your players selected asking that they accept your request.  The player will need to follow the steps outlined below in CUSA Member Profile.

f)        You can also search for players outside you roster – however they will need to know their last name, first name and birth date to find them.  Their name must be entered as it shows on their current ID card in order to find them within the system.  If you cannot find them through this search you should have them submit their waiver directly to the CUSA Office.

g)      Players that do not have an email listed on your previous team roster will not be able to be registered with this process.  You will need to have them complete and submit to CUSA the participant Waiver and include a valid email address on that form.  You cannot edit your players profile to add their email.  Only the player or CUSA can edit their profile.

h)      Once you have created a roster – you can send out an activation email to all players that have email addresses within their roster. The email will instruct players to login and activate their team request.

i)        A player must accept your team request to be registered to the team.  Without their confirmation / acceptance of your request they will not be registered to your team.

2)     CUSA Member Profile ( Member Log In  )

a)      Players can now login into their account using their email address and password.  The first time the player logs in they will need to enter their email and indicate that they need to retrieve their password.  The system will respond with an auto generated password which they can change to one that they will remember.

b)      Passwords for players were generated randomly when I uploaded their data to the server. To retrieve their password they can hit the forgotten password link on the login page and provide their email address

c)       Once logged in they can edit their profile (restricted to address, phone number, email, password)

d)      They can also accept / decline a team request.

e)      When they accept a team request – they must also accept the CUSA waiver – this will replace the paper waiver.

f)        A player will not be considered registered without accepting your request.

g)      A player can only accept one request therefore will not be able to be registered on two teams at once.

3)    Team Official as a Player

a)      Anyone who is a Team Official can be registered by the Team Administrator to have access to the Team Admin functions.  This will include member registration, transfers, removals and team finances and discipline.

b)      The Primary is the individual who can set up additional Team Officials, CUSA can also add you as a team official – you cannot sign yourself up.

c)       When registered as a team official you are not currently also registered as a player.  We will continue to send you updates on the program and tools for your access.

4)    Club / Team / Member Log In

a)      There are three different means of accessing the system.

i)        Club Log In

(1)    If you registered as the Club Administrator then your user name and password received will allow you to manage your club profile.

(2)    From this point you will not be able to make amendments to your individual member profile.

(3)    As the Club contact you can assign additional individuals to the various teams within your club as Team Officials.

ii)      Team Log In

(1)    When your Club Administrator has set you as one of the Team Officials (Coach, Manager, Trainer, Treasurer, and Discipline Contact) then the user name and password for this area will enable you to edit your team profile.

(2)    Under the Team Member tab you can register players to your roster.

iii)     Member Log In

(1)    All individual CUSA Members can access their member profile from this log in.

(2)    Your email on file must be correct for you to access this profile.

(3)    You will be able to make amendments to your profile – update your address, phone numbers etc.

(4)    Only you can access this profile, your coach or team mates cannot make amendments to the profile for you.

(5)    Individuals who do not have an email address on file with CUSA will be required to complete the paper waiver and submit it for CUSA Administration to manage the profile for you.

(6)    From your member log in you will be able to accept (activate) your player status with your team for the season.  If you sent a waiver to the CUSA Office Administration will activate your registration for the season.

We appreciate your patience as we are developing and learning the software at the same time.  We are confident that you will find the system very user friendly and it will assist you with your team registration and management.
